Ice Bagger – SWIRCA

The Volunteer Coordinator will give you ice bags. Bag between 1-4pm in Ivy Cafe. Check back to store ice in truck in parking lot and tell them how many bags were filled.

Load Penske Truck

Load truck @ SWIRCA with tents, glasses, and other supplies from the building and shed.

Set Up at the Park

Set up tables, table cloths, hang signs, put up tents, etc.. This will be according to diagram.

Volunteer Check-in Tent

Assist w/ volunteer check-in. All volunteers must be on list to enter. Verify IDs/liquor licenses if pourers, give map, shirt, wristband, & glass. Direct volunteers to assigned area. Give BrewMaster’s name.

Vendor Check-In Tent

Verify IDs, liquor license if applicable, hand out glasses and bracelets, vendor packets if applicable, direct vendor to assigned area.

Vendor Runner

Unload Vendor supplies from vehicle, transport to table; Golf cart may be available. If a line forms unload supplies & stack until they can be taken to vendor table.

Traffic Director – Franklin & 10th

Direct vendors to the Vendor Check-In Tent and tell them assistants will unload their vehicle while they check in. They can move their car after it is unloaded.

Ticket Scanner – GA

Direct guest to correct line for ticket purchase or entrance area, scan tickets & check bracelets. No one enters without a ticket or armband. Return phone/scanner to BrewMaster at end of the shift.

Direct guest to correct line for ticket purchase or entrance area, scan tickets & check bracelets for VIP ticket-holders. No one enters without a ticket or armband. Return phone/scanner to BrewMaster at end of the shift.

ID Check / Bracelets – GA

Walk lines of GA ticket-holders checking ID’s (birthdate 9/17/2001), put on bracelets. Check bracelets of those coming in/out make sure glasses are empty before anyone leaves.

Gate/Fence Security

Watch gates making sure guests do not exit with alcohol in glasses when leaving or taking smoke breaks. Make sure no one crosses fence or hands alcohol over to a friend.

Event Maintenance

Use gator to deliver ice & gather trash. Make sure trash is disposed of properly. Clean up spills, assist vendor needs throughout the event.

First Aid

Evansville Fire Dept will be providing any First Aid needed.

SWIRCA Table

Sell Half-Pot, SWIRCA Swag Merchandise, must be able to use a Square for credit cards.

Spirits Tent

Verify that guests only have 2 samples PER VENDOR. Mark each guest Bracelet after receiving sample. No sample should leave the spirit area.

Beer / Wine Server (pourer)

MUST have Liquor License–Help vendors serve guest drinks. Samples will be 1 oz for spirits & 2 oz of wines & beer. Cover bathroom breaks for vendor reps.

VIP Security-VIP Area

Provide Security for VIP. Make sure no one partakes in VIP drinks or uses VIP restrooms without a VIP wristband. (1 volunteer at restrooms, 1 at drink area)

Photographer

Take photos of the event, guests, vendors and volunteers

Load Out

Assist vendors at end of event to transport products and supplies to their cars.

Clean-Up Crew

Disassemble tents, stage, lighting, tables, pack up supplies & other items that go to SWIRCA.

Oversee vendors checking-in and Vendor Tent volunteers. Check ids – everyone must be 21 (9/17/2001) to enter and liquor license (if they are a brewery).

Same Day Sales table. Oversee in person and online sales, pick up excess cash from SWIRCA table. End of evening clean, breakdown area, stack tables. Make sure area is clean and ready to load on truck.

Oversee vendors in left half of the park. Make sure vendors are happy and have what they need. Call for ice or trash pick-up if needed. At end of evening clean and breakdown your area.

Oversee volunteers, Mark bracelets for 2 spirits samples per vendor per person. Call for trash pick-up if needed. At end of evening clean & breakdown tables in your area and stack against the wall for clean up crew to pick up at end of evening.

Oversee check-in & ticket scanners/ID checkers (VIP and GA). Manage volunteers and check-in process (IDs, bracelets, phones/scanners) manage shift transfers. End of evening clean breakdown tables, stack against wall. Return phones to Volunteer Tent.
